Personal Data

Visaformassistance processes your personal data because you use our services and/or because you provide them to us yourself.

Below you will find an overview of the personal data we process:

with suppliers who provide company services at our direction and in accordance with our privacy policy;

with any affiliates (if necessary to perform the service);

when we have a good faith belief that access, use, preservation or disclosure of the information is reasonably necessary to comply with applicable legal process or enforceable governmental requests;

to enforce our terms of use, including investigating potential violations;

to address fraud, security or technical issues;

to protect against harm to the rights, property or safety of our users or the public, as required or permitted by law;

pursuant to a subpoena, court order, government investigation or other legal process or as otherwise required by law, or to protect our rights or the rights of third parties;

Government agencies: 

Visaformassistance may share information about consumers with government agencies to fulfill the products purchased by our customers. Certain personal information becomes public when documents are filed with the federal or state government, or in a court of law. For example, an applicant’s personal information and files are sent to the U.S. Department of Homeland Security (DHS) or the U.S. Citizen and Immigration Services (USCIS) or other relevant agency and are no longer under our control when applications and petitions are filed. This privacy policy does not cover these or similar actions by third parties.

Definitions;

Personal data

This means all information relating to an identified or identifiable natural person (data subject/user). An identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic , mental, economic, cultural or social identity of that natural person. As used in this Privacy Policy, Personal Data or Personal Information means information that relates to and can be linked to a specific individual. It does not contain anonymized or aggregated information.

Data subject/user:

Refers to any identified or identifiable natural person whose personal data is processed by Visaformassistance.

Process:

Is an operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise make available, align or combine, limit, delete or destroy.

Special and/or sensitive personal data that we process

Our website and/or service does not intend to collect data about website visitors who are younger than 16 years of age. Unless they have permission from parents or guardians. However, we cannot check whether a visitor is older than 16. We therefore recommend that parents be involved in their children’s online activities to prevent data about children from being collected without parental consent. If you are convinced that we have collected personal information about a minor without this consent, please contact us at info@visaformassistance.com and we will delete this information.

Visaformassistance processes your personal data for the following purposes:

to help us communicate with you, for example, to contact users in response to questions, solicit user feedback, provide technical support, and inform users about promotional offers;

to provide our services to you or to the owner of the account associated with your request;

to operate, maintain and improve our websites and services;

to comply with applicable legal requirements; 

and to enforce our terms of use and otherwise protect our interests;

as otherwise disclosed at the time such information is collected.

We may also use any Personal Data that you provide to us when you register for our services on our websites or when you purchase a product on our websites to advertise or market other products or services that we believe may be of interest to you.

How long do we keep personal data?

Visaformassistance does not store your personal data for longer than is strictly necessary to achieve the purposes for which your data is collected. We use the following retention periods for the following (categories) of personal data:

– account information is retained indefinitely to provide the user with appointment reminders. The account can easily be deleted by the user in the account environment. If the user performs this action, all account data will be deleted from our system.

– data from incomplete applications will be deleted after 14 days to give the user the opportunity to complete the initiated application. After this, this data will be deleted.

– Data from completed applications will be kept for 3 months to process the application and to provide answers to any questions about it. After this, this data will be deleted.

Sharing personal data with third parties

Visaformassistance does not sell your data to third parties and only provides it if this is necessary for the execution of our agreement with you or to comply with a legal obligation. We enter into a processor agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. Visaformassistance remains responsible for these processes.

Cookies, or similar techniques, that we use

Information about the use of the website is processed using cookies. Some cookies are necessary, for example for the website visaformassistance to work properly or for a service requested by the person concerned to function. The user does not require permission for these functional cookies, but the data subject must be informed about this. Visaformassistance uses these so-called functional cookies. In addition to functional cookies, there are also non-functional cookies. This includes analytical cookies, social media cookies and advertising cookies. The use of these types of cookies requires permission from the data subject. Visaformassistance does not use non-functional cookies. If Visaformassistance wishes to use these types of cookies at a later time, it will first ask permission for this.

View, adjust or delete data

You have the right to view, correct or delete your personal data. In addition, you have the right to withdraw your consent to data processing or to object to the processing of your personal data by visaformassistance and you have the right to data portability. This means that you can submit a request to us to send the personal data we have about you in a computer file to you or another organization mentioned by you.

You can send a request for access, correction, deletion, data transfer of your personal data or request for withdrawal of your consent or objection to the processing of your personal data to info@visaformassistance.com.

To ensure that the request for access has been made by you, we ask you to enclose a copy of your proof of identity with the request. Make your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen Service Number (BSN) black in this copy. This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks.

Visaformassistance would also like to point out that you have the option to file a complaint with the national supervisory authority, the Dutch Data Protection Authority.

How we protect personal data

We implement security measures designed to protect your information from unauthorized access. We protect your information against potential security breaches by implementing certain technological security measures, including encryption, firewalls and a secure SSL certificate. However, these measures do not guarantee that your information will not be accessed, disclosed, altered or destroyed by breach of such firewalls and secure server software. By using our Service, you acknowledge that you understand and agree to these risks.
